Public Document Search Settings

Documents that have been marked as public can be searched for and selected for purchase using JusticeWeb. Documents are searched using information on the case or on primary case involvments.

In order for public documents to be searched, the following must be completed:

  • Setup JusticeWeb server
  • Setup elgible case types, case statuses, and document types for public documents
  • Have documents marked as public
  • Setup Search Settings on the server

Select the search control settings and result display
options

The Public Document Search page will not be shown if search has not been enabled or if no search fields have been selected in for the server.

  • JusticeWeb Server: If there are multiple servers, use the arrows to navigate between servers and their associated settings.
  • Use Public Documents: Checking this box enabled the Public Document search feature for the server.
  • Default Shipping Status: Select the status that new public document order items come in as when an order is accepted.
  • Collecting Agency: Select the primary collecting agency for public documents transactions. Available delivery methods will be filtered by ones whose account owner matches this setting. The JustWare user configured for the JusticeWeb server must be a member of this agency.
  • Custom Introduction Html: Enter valid html into this field to add any context that can help users while searching for public documents. Thils will be rendered at the top of the document search page.

At least one search field and one search result option must be enabled for the public documents feature to be active.

Search Field Configuration

Primary Involvement Search fields

These fields will be used to find cases based on information on a primary involved person. These name fields will search for an exact match on the involved person. For example, searching for a last name of "Jones" will find cases with the primary involved person with the last name Jones. Adding "John" as a first name to the search will reduce the search results down to primary involved people named John Jones.

The following fields are available:

  • First Name
  • Middle Name
  • Last Name
  • Date of Birth

Checking the box next the field name will add that field to the search form.

Case Search fields

These fields will be used to find cases based on information on the case. Checking the box next to the field name will add that field to the search form.

The following fields are available:

  • Case Status
  • Received After
  • Received Before
  • Agency: Used to search for cases that an agency is involved in.
  • Agencies Displayed in Dropdown: When the Agency field is enabled, the dropdown will contains all agencies enabled in this setting.
  • Case Number: Searches with this value will search for cases with case numbers across all agencies. If combined with an agency value, the search results will be filtered down to case numbers under that specific agency.

Result Display Options

The results as they will appear on

Admins can configure what case information is displayed when search results are returned. Checking the box will display that information on a result.

The follwing information is available:

  • Case Title
  • Case Status
  • Case Type
  • Primary Agency Number: Lists all lead agency numbers on the case.
  • Primary Charge: Displays the first charge on the case.
  • Primary Involved Name: Lists all primary involvements on the case.
  • Max Results Returned: The maximum number of returnable case results. The default value is 30 cases. The minimum value is 1 case.

Delivery Methods

In the Delivery Methods snap-in, admins can configure the delivery methods available to customers as they search for public documents to purchase. Each row represents a delivery method. These methods are built upon on JustWare's non-case payment types.

The following fields are available:

  • Code (Required): Type a brief, unique code used to reference the corresponding item description.
  • Description (Required): Type a description that the user will view in the lists populated by this code table. This description is what is shown to public document customers.
  • MasterCode (Required): Specify what type of deliverable this method represents:

    • Manual Public Document: This method is for any deliverable that is handled manually and not a direct download, e.g. shipped by mail.
  • Fee (Required): Specify the price per item delivered via this method. A value of 0 indicates that this is a free delivery method.

  • Pay To (Required): Select a Collecting Agency from the drop-down list. Only methods associated with the Collecting Agency selected in public document search settings will be displayed on public document search results.
  • To Account (Required): Select an account that will accept the money for the item purchased. This drop-down list is filtered to only show Open Liability accounts owned by the Pay To agency. If no To Accounts appear, you must add one using the Agency Account tool.
  • Notes: Type any related notes in this free-text field.
  • Activation Date: Type or select the date from the drop-down calendar that this code table record will become active.
  • Expiration Date: Type or select the date upon which the code will become inactive.

Shipping Status

In this snap-in, admins can configure the shipping status an ordered public document can have while an order is being worked on. Users can select these values in the Public Document tool session on each order item.

The following fields are available:

  • Code (Required): Type a brief, unique code used to reference the corresponding item description.
  • Description (Required): Type a description that the user will view in the lists populated by this code table. This description is what is shown on the dropdown when selecting a status for a document.
  • Notes: Type any related notes in this free-text field.

Document Type Flat Rates

In this snap-in, admins can configure an additional flat rate for a document type on a JusticeWeb server. Public documents of a type that is configured in this snap-in will show its flat rate in document search results. The flat rate for a document will be added to the chosen delivery method for the full price of a delivery. A JusticeWeb server can only have one flat rate set per document type. Document types without a flat rate will not show a rate in search results and the delivery method cost constitutes the full price of a delivery.

For example, if a customer picks a delivery method that costs $5.00 for a document with a flat rate of $2.50, the delivery will cost $7.50. If the document had no flat rate, the delivery will cost $5.00.

The following fields are available:

  • JusticeWeb Server (Required): The JusticeWeb server instance that this flat rate applies to. A server cannot have more than one flat rate configured for a single document type.
  • Document Type (Required): The document type associated with this rate. All documents of this type will have this flat rate applied.
  • Flat Rate (Required): The amount that is applied in addition to the cost of a delivery method when selected.
