Document Routing

JustWare's Document Routing function allows you to move or copy documents from the filing cabinets of name or case records to the filing cabinets of other name or case records.

Note: A document that is associated with a discovery packet cannot be moved.

  1. While on a case or name, select the views drop-down at the top right and click Document Routing.

    A Document Routing session opens with all of the related documents in the Existing Documents snap-in.

  2. In the Document Routing snap-in, select a destination name or case filing cabinet for the documents being moved. You can move documents to either a name record or a case record, but not both simultaneously.

    1. Search for a case by entering the search terms in the Case field and pressing Enter or clicking the Case Quick Search button in the field.
    2. Choose a case record from the list of search results.

    2. Choose a name record from the list of search results.
  3. In the Existing Documents snap-in, navigate to the Selected check box. If you only want to move one document, check the box in that document row.

    Tip: If you want to select multiple documents, use one of the following two methods:

    Select multiple consecutive document rows

    Select multiple non-consecutive document rows

    1. Click and hold the left mouse button in the gray margin bar to the left of the first document row that you want to include. This is the far left column area as seen below.
    2. Drag the mouse down until you reach the last document row that you want to select.
    3. Release the mouse button.
    4. Select the check box in one of the rows, and a check mark will appear in all of the selected rows.
    1. Click in the gray margin bar to the left of the first document row that you want to include.
    2. Press and hold Ctrl.
    3. Click the gray box to the left of any additional document rows that you want to select. When all desired rows are selected, release Ctrl.
    4. Select the check box in one of the rows, and a check mark will appear in all of the selected rows.

    This snap-in is read-only. The documents that appear here are documents in the name or case record's filing cabinet. To change or manage the documents, use the Filing Cabinet view of the record.

  4. You may review the information in the Existing Documents snap-in. Many of these fields are read-only.

    Description

    Sealed

    If sealing is enabled and permissions are set to allow you to see this field, it displays if the document is sealed or not.

    Document Type

    Displays the document type that was specified when the document was scanned or imported into the filing cabinet.

    Document Name

    Displays the document name. Note: Clicking the hyperlinked document name will open the document. You may view the document, but you will not be able to save any changes to it.

    Tip: To edit the document, open it from the Filing Cabinet snap-in.

    Document Status

    Displays the document status.

    File Size

    Displays the file size of the document. Note:When filtering by the File Size field, it is recommended to use a Custom Filter.

    Copy to Related Cases

    When a case record is selected as the destination for routed documents, you have the option to select this check box. When it is selected, the document will be copied to the chosen case record and all case records related to it.

    Note: This option is enabled when a case record is selected as the destination. If documents are not sent through the Web service, this option is disabled. This setting is handled through the Maintenance Console. Contact your JustWare Administrator for assistance.

    Notes

    Displays notes related to the document record.

    Date

    This field may be populated with a value specified in a Document Scanning session or the date the document was inserted into the filing cabinet.

    Created By

    This field indicates the user who created the document.

    Add Date

    This field indicates the date the document was added.

    Last Modified By

    This field indicates who a document was last modified by.

    Last Modified On

    This field indicateswhen a document was last modified.

    Locked By

    This field indicates if a document is locked by a user, unlocked or set to be read-only.

    Currency 1

    Displays an amount of money associated with the document.

    Currency 2

    Displays an additional amount of money associated with the document.

  5. Move or copy the selected document(s) to the appropriate filing cabinet.

    - Copy: Press Ctrl+S or click the Copy button or File | Copy. This copies the document(s) to the selected name or case record(s) and keeps the original document in the original record. - Move: Click the Move button or File | Move. This moves the document(s) to the selected name or case record(s). The original document is not kept in the original record.

    A message appears in the status bar to verify that all documents have been successfully routed.
