Application Person Code Table¶
You can associate users with agencies and logons and manage Exchange synchronization for each user in the Application Person code table.
Note: Because this code table is used to populate the drop-down list of case agency persons in a case session, you may want to create agency records and manage the Agency code table prior to using the Application Person code table.
Only users inserted in this code table can be assigned logons or be assigned to agencies. Each active Application Person record with logon credentials that is not specified as a non-client user uses one of your available licenses. Be careful to not exceed your number of available licenses.
Tip: To check your number of licenses, click Help | About JustWare. If you have more active users than you have Licenses Purchased, consider either deactivating some of your active users or purchasing additional JustWare licenses. API or JusticeBroker users who do not need access to the JustWare Client may be classified as non-client users, as non-client users do not use a license.
Caution: If you go into SQL Server to add users that exceed your number of licenses, all users will be unable to access JustWare until the number of active users has been reduced.
Finding the Application Person Code Table¶
- Open the Admin landing page.

Navigate to Account Management > User Accounts.
The Application Person code table will be displayed in the Application Person snap-in.
Tip: To access this code table through the Code Tables master list in the General Configuration group, click tblAppPerson.
Creating Application Person Codes¶
Note: If two domains are used in conjunction with JustWare via a two-way domain trust setup, this will affect how the logons for application persons are transferred. Users belonging to a group on the same domain that JustWare is hosted on will be able to be handled as a group or as individual users. Users belonging to a group on a domain different from the one JustWare is hosted on will be handled as individual users. Both domains must be mapped in the Domain Map snap-in of Application Parameters.
Tip: To enable a user in your organization to view financial obligations for multiple collecting agencies and accept payments on behalf of them, the user must be a member of multiple collecting agencies. Add the user to a record row in the Application Person snap-in for each applicable agency.

Add a new record.

Select or type all required and relevant data for each available field. Some fields may be required while others are not.
- Code: Type a brief, unique code used to reference the corresponding item description. Tip: It is recommended to simply use the initials of the person for this code.
- Full Name: Type the actual name of the JustWare user. Locate the name using the Name Lookup tool. If there is no name record for the person you are adding, create a new one.
- Agency: Select the name of the agency with which this JustWare user is associated from the list. The drop-down list displays all of the agencies in the Agency code table. If the correct agency is not available, add it to the Agency code table.

Login: Type the registered user's logon name. This will be the logon that is used to access JustWare. This is either the logon on the domain or the Web server.
Tips:
- Use an asterisk (*) as a wildcard to locate a logon name. (This can only be used at the end of text, not at the beginning or in the middle of a domain or name.) You can also use just an asterisk (*) to return a list of logons that you can choose from.
- For users that are members of multiple agencies, provide a logon name only for the primary agency. For a user's secondary agencies, leave this field blank. This step ensures that the user has correct business rules and data partitioning privileges.

Active: Select this box to set the user's logon privileges as active, or clear it to deactivate the user's logon privileges. Clearing this check box also removes this user from any applicable drop-down lists.
- Non-Client User: Select this box to classify the user as an entity using JustWare functionality via the API or JusticeBroker. This type of user does not use a JustWare license and will be unable to log on to the JustWare client.

Calendar Sync Type: Select the way you want JustWare to sync with Microsoft Exchange for this user:
- 0 - No Sync: JustWare will not sync with Exchange.

1 - Exchange to JustWare: An event is created, modified, or deleted in JustWare if an appointment is created, modified, or deleted in Exchange.
Note: Changes made to case events in Exchange are not updated in the corresponding case event in JustWare.

2 - JustWare to Exchange: An appointment is created, modified, or deleted in Exchange if an event, correspondence, or task is created, modified, or deleted in JustWare.

3 - Bidirectional: JustWare is updated with the creation, modification, or deletion of appointments in Exchange and Exchange is updated with the creation, modification, or deletion of events, correspondences, or tasks in JustWare.
Note: Changes made to case events in Exchange are not updated in the corresponding case event in JustWare.

Mailbox Name: This column is used if your logon name is different than your email name. If there is a user name in the Mailbox Name column when Exchange Sync Service runs, it will use that user name. If this column is left blank, the user name for the Exchange mailbox will be the user name in the logon column minus the domain. For example, if the Mailbox Name field is empty and the user name in the Login field is

.Note: Exchange Synchronization must be installed, started, and maintained from the Maintenance Console.

Mobile User: Selecting this option will give the user access to JustWare Mobile. For more information regarding JustWare Mobile, see JustWare Mobile.
Caution: Every Application Person record that is marked as Active, assigned logon credentials, and not specified as a non-client user uses one of your licenses. The number of licenses currently in use is displayed at the top of the code table. The total number of licenses purchased and available for use can be found by clicking Help | About JustWare from the Menu toolbar.

Save the session.
Deleting Application Person Codes¶
Caution: We recommend that instead of deleting application person codes, you should instead mark them inactive.
- Select the record you would like to deactivate.
- Navigate to the Active check box, and clear the selection.
- Save the session.
To delete an Application Person Code completely:

Select the record you would like to delete, and press Ctrl+Delete or the Delete Record button.
A dialog box appears to confirm the deletion. Click Yes.
