System Reports¶
System Reports can be accessed from the Utilities group in the Explorer toolbar. These reports display JustWare office management and system maintenance information related to office workflow, system usage, and user statistics.
Although each System Report is unique and tailored to provide detailed information for a specific purpose, System Reports as a whole are similar in how they filter and display their information. The descriptions below serve as a reference to highlight the various methods that may be used to generate and display reports. Not all methods are used in each report.
- Use date range parameters, such as Start Date/Time and End Date/Time, to limit the time frame for the results displayed.
- Use single parameters and multi-select parameters to filter the results returned in your report. Filter options are often presented as drop-down lists.
- To ensure greater search flexibility, wildcards are automatically inserted on either side of user input in a free-text parameter field. For example, searching for "Smith" will also return results for "Blacksmith." Be sure to narrow the criteria of your searches as much as possible to get the most accurate results.
- The Group By field organizes the displayed data into meaningful sections.
- The Report View field displays the generated report in either a collapsed or expanded view.
- The Limit Rows Returned field renders the report more quickly by limiting the maximum rows returned.
- After a report has been generated, use the up/down arrows next to the column headers to sort by column. Hold down the Shift key to sort by a group of columns.
- Some displayed data may have additional data accessed via an Expand/Collapse button. Expand a drill-down list by clicking the plus button (+). Collapse a drill-down list by clicking the minus button (-).
- Clicking a hyperlink for a name or case record will open that record in the default view set for that record type in the Default View Settings. Some reports include hyperlinks that open drill-through reports.
- Use the search box, next to the Find and Next buttons in the toolbar, to locate specific text within the generated report.

These reports enable you to quickly view your most recent activity within JustWare, or that of a team member. Activity is grouped relative to the type of data accessed. Using these reports will help you locate records on which you or your team member recently worked.

Calendar, Docket, Event and Instance Reports¶
These reports help you maintain control over scheduling and enable you to manage items on your calendar. You can view events, quantify them by type, and review dockets.

Advanced Event Matrix |
This matrix report displays aggregate event data, listing the number of all JustWare events per Event Type within a specific time frame. The matrix columns represent the number of events in each month of your specified time frame. The matrix rows represent the number of events of each Event Type. The cross-tab cell of a month row and an Event Type column lists the number of JustWare events that are scheduled during that month AND have the specified Event Type. A matrix row group Total and a matrix column group Total are included with a Total for the entire report. If grouping is used, each matrix row sub-group includes a Sub-Total row. |
Calendar Docket Instances |
This report allows you to view the specific instances (dates and times) that are part of a docket. Clicking the + next to the docket name will display a list of each instance within that docket, along with information regarding how full the instance is. The Instance Date hyperlink drills through to the Docket Events report. |
Calendar Dockets |
This report allows you to view dockets with their names, capacities, dates, times, and days of the week. The docket name hyperlink drills through to the Calendar Docket Instances report and provides default involvement, case type, event type, and agency information. |
Court Calendar |
This report allows you to view court events within a specific time frame. Each listed event includes event date and time, type, status, location, case status and type, case involved people, court number, law number, and a hyperlink to the applicable case. |
Case, Document and Exhibit Reports¶
These reports allow greater control over cases, documents and exhibits. You can find cases or exhibits that have been created, decide to which locations they may be assigned, determine if there are placement conflicts, and locate assigned cases or exhibits. Additionally, you can see who has locked a certain document.

Users can view the barcodes of exhibits that have been created for a specific user. If the specified user has created an exhibit during that time frame, their name is displayed as a hyperlink to a drill-through report that shows the created exhibits with the applicable barcode and exhibit title. |

Users can quickly view all locations and physical locations that may have possession of cases and exhibits. Barcodes for commonly used commands in JustWare are also provided. This report includes all physical locations and name records that have a Name Attribute with a MasterCode of "Assignable Location." Each location and physical location is listed with a corresponding barcode. The report is organized, from top to bottom, in the following order:

Case and Exhibit Physical Location |
Users can view the physical location of cases and exhibits. When both a parent location and an agency are selected, the report lists the parent location results above the agency results. Exhibit results are listed below case results. |
Case Attribute Details |
Users can view cases that have particular case attributes. The 1st Case Attribute Code List parameter can only be set after the 1st Case Attribute is selected. The 2nd Case Attribute Code List parameter can only be set after the 2nd Case Attribute is selected. The options for the Sort By parameter always include Case Title. The remaining options are determined by the attributes on the actual cases included in the report. |
Case Attribute Matrix |
Users can quickly view a matrix of totals related to particular case attributes. This report can aid you in reporting case totals based on various criteria. For example, you can use this report to see at a glance how many cases involving the attributes of "gang" and "knife" are in your database. Each box in the matrix that displays numbers has two components. The top number represents how many cases have the attributes for that row and column. The bottom number is a percentage indicating how the top number relates to the total cases in the report. |
Case Physical Location Conflict Check |
Users can view potential conflicts related to the placement of a case in a particular physical location. The report is generated for a particular case with an assigned physical location, and the potential conflicts listed are for physical locations within the same hierarchy as the case's assigned physical location. At the top of the report you will see a list in red of case and name attributes associated with the case. These are attributes with an alert flag set to "true" as defined in the appropriate code table. Potential conflicts are grouped by their physical location and are listed with hyperlinks to the corresponding name and case records. Conflict issues are listed as well. |

Locked Documents |
Users can view a list of documents that have a Document Type set to read only and are currently locked by users. This report does not display documents that have a Document Type set to Read Only. Each listed document has identifying information including the name of the user who has locked the document, the document name, the document type, the date and time the document was locked, and the duration for which a document has been locked. This report is helpful for determining how long a user has had a particular document locked. For example, if a user has had a document locked for an hour, then it is probably not an issue for concern. If a user, however, has had a document locked for six days, then the user may need to be reminded to unlock the document so that other users may edit it as necessary. |
Caseload Management Reports¶
These reports enable you to quantify your organization's workflow. You can view the number of active cases that are in certain age ranges or have specific Case Types, review case status history information, track the ratio of closed cases to opened cases, track the percentage of cases processed within a certain time frame, and monitor how quickly cases are tried. These reports provide quantifiable data regarding the processing of cases and enable you to assess your organization's performance level.

Case Age Caseload |
This report lists the number of active cases that are in certain age ranges. This report allows court personnel to effectively manage a caseload by focusing on the age of active cases and ensuring processing standards are being met. A case is considered active if it does not have a status of "closed." When the report is generated, it is grouped by case type. Once a case type group is expanded, it lists sub-groups of age ranges. Case age is represented by the number of days since the case was created to the date the report is generated. Each range of days lists the number of cases of that age and the percentage of the total number of cases of the applicable case type they represent. |
Clearance Rates |
This report allows you to track the ratio of closed cases to opened cases within a specific time frame as a percentage. The information provided allows personnel to make sure their organization is successfully keeping up with their incoming caseload. The total number of closed and opened cases is listed as well as the percentage of outgoing cases compared to incoming cases (clearance rate). Optimally, a clearance rate of 100% or greater is desired, indicating that cases are being resolved (outgoing) at least as quickly as new cases are being filed (incoming). |
Monthly Case Type Count (Matrix) |
This reports lists the number of all active cases per Case Type. The matrix columns represent the number of events in each month of your specified time frame. The matrix rows represent the number of cases of each Case Type. The cross-tab cell of a month column and a Case Type row lists the number of JustWare cases that have a Received Date during that month AND have the specified Case Type. A matrix row group Total and a matrix column group Total are included with a Report Total appearing in the cross-tab cells. |
Time to Disposition |
This report enables court personnel to track the percentage of cases being processed within a specific time frame. This report allows personnel to ensure they are processing cases in a timely manner and adhering to performance guidelines. Each case type group lists, by percentage, the total cases that were received within the specified time frame and resolved by the end of the time frame. A case is considered resolved if the status is "closed." |
This report gives personnel a useful tool in determining the court's ability to resolve cases in a timely manner and evaluating the court's effectiveness of calendaring. Jury Trials and Continuance Jury Trials are grouped together with a Jury Trial Certainty percentage calculation. Bench Trials and Continuance Bench Trials are grouped together with a Bench Trial Certainty percentage calculation. |
Cost and Time Management Reports¶
These reports assist you with the management of your personnel. You can view case cost information, total time and cost per Assigned Professional, and total cumulative cost for all Assigned Professionals. Using these reports will help you assess where your resources are being allocated and if the allocations are appropriate for your organization's mission.

Database Change Reports¶
These reports enable you to manage your database. You can gain an overview of which records or snap-ins a user has viewed, updated, or deleted. You can view the information that has been added to or changed in the database within a specified time frame.

User Access Logging |
This report allows you to keep track of when and how users are accessing JustWare. In order for this report to be populated, you must have the "Log user access" field set to "True" in the System Configuration snap-in of the Application Parameters code table. If you would like crashes to be logged as well as logons and logoffs, click Tools | Settings | Save Status Messages to log file from the Menu toolbar. Discovery Packet Reports¶
These reports enable you to quickly view information about discovery packets and payments and to assess what information is being downloaded and by whom.

This report displays discovery packet contents and involvements. This report can be used to easily see what files are included in a discovery packet, how big each file is, and when the packet was created. It can also be used to view the Document Involved Names for each packet. Involved names are used to track who has downloaded or received the discovery packet. |

This report displays amounts paid and amounts due by name record. It also displays the download history for each name record. This report can be used to determine how much a name record has paid for a given date range, or it can be used for billing purposes for those involvement types that are set to Bill Me. |
JDA Reports¶
These reports enable you to quickly view information about the generation of documents using the JustWare Document Automation (JDA) 2.0 Editor. You can view which queries and templates are linked together and monitor the workflows used in generating the documents.

JDA Activity Workflow Log |
Users can view a list of documents that have been created as a result of the execution of automated business rules. This report displays aggregate information pertaining to the automatic generation of documents from JDA templates. You can easily identify which of the generated documents were saved to a name or case filing cabinet. Note:Workflow information is provided based on the current type of the workflow, not on the type of the workflow when it was initially run. For example, if the type of the workflow is changed and the report is run, all past runs of the workflow will be reported with the new type. |
JDA Templates |
Users can view which queries are linked to which templates. Across the top of the chart are the queries. Down the left-hand side of the chart are the JDA groups and their individual templates. A "1" in a cell indicates that the corresponding group and its template are linked to that particular query. A zero in a cell indicates that the corresponding group and its template are not linked to that particular query. The benefit of this report in chart format is that you can easily determine which templates will be affected by changes to a query, or you can see which queries will be affected by changes to a template. A list of templates without any linked queries can be viewed as well. The totals in the far right column of the chart indicate how many queries are linked to a specific template. The totals in the bottom row of the chart indicate how many templates are linked to a specific query. The total in the bottom right-hand cell of the chart indicates how many total links are represented in the chart. By default, all linked queries and JDA groups are listed in the chart. If you prefer, you can customize the chart by selecting which specific queries and groups should appear in the chart. |
Searching Reports¶
These reports enable you to search for data related to name records across the database. This data includes related case involvements, case records, name records, case notes, and case types. Using these reports can save time locating information you need. By performing a search of case involvements for a selected name record, you can prevent assigning personnel to a case where there is a conflict of interest.

Conflict Check and Conflict Check Name Search |
Users can search for any name record and view case involvements and name relationships in order to determine if there is a conflict of interest. The first 25 name records that match your search criteria are listed. If more records match your search criteria, you are prompted to enter additional search criteria to narrow the results of your search. Each listed name includes a hyperlink that opens the Conflict Check drill-through report for the selected name record. The Conflict Check drill-through report can be accessed through a hyperlink in the Conflict Check Name Search report, or it can be accessed independently if you provide a Name ID. This report lists all case involvements for the selected name record. Each case-involved person is also listed with all of their case involvements that they share with the selected name record. Additionally, each name relationship is listed with their case involvements. |
Security Permissions Reports¶
These reports help you control the accessibility of your information by managing which tasks your users are allowed to perform in your database. You can review the security permissions for specific security profiles and specific users.

Additionally, the header of this report lists the security profile(s) this user is a member of and any information that is restricted for this user. |

These reports provide a wealth of information related to statutes. Some of the information is specific to statutes, and some of the reports relate statutes to cases.

Document Pricing Matrix |
This report displays the cost of document types for different involvement types in a matrix. The Document Pricing Matrix report can be used when configuring Document Pricing Rules. This report displays in red any conflicts that exist within the pricing rules. Note:The Base Price does not appear on this report, but it appears when the final calculated price is generated. |
JusticeWeb Audit Log |
This report displays a log of all transactions that occur in the Request Queue of JusticeWeb. Note: This report will only display data if JusticeWeb is installed. This report can be used to review all approvals and rejections. Note: In order for this report to run correctly, logging must be enabled in System Administration | Code Tables | Application Parameters. To do this, set the following fields to True: Log When a Record is Deleted, Log When a Record is Updated, and Log When a Record is Inserted. For the Action parameter, the Delete action is used for account requests that have been accepted or rejected. This happens because an account request that is accepted or rejected is deleted from the Request Queue. |

This report displays JustWare code tables and the codes created within them. The report is generated for a specific date for use as a parameter to determine whether codes are active or inactive. Statute text and attribute information can be viewed by expanding the statute rows, where applicable. This report is organized by code table name and has drill-through reports for the code tables. Tip: It is recommended to use the JustWare Code Tables (Printable) version of this report when printing a hard copy, as it has been configured to not display the Add By and Mod By fields. This report includes page breaks between each code table so that only one code table is displayed at a time. Use the blue navigation arrows to locate the code table information you would like to print. |
Notification Log |
This report displays all pending notifications and sent notifications delivered by JustWare. From this report you can confirm that notifications have been sent and view any that have had errors and were not sent, allowing you to troubleshoot the problem and get the notifications sent. |
Physical Location Information |
This report allows you to view the hierarchy of physical locations. The hierarchy is established through the Physical Location code table. The report is generated for a specific date for use as a parameter to determine whether locations are active or inactive. The Physical Location Information report can be filtered by the following parameters:

Unit Log |
This report displays the recorded notes for a physical location unit. The Unit Log in the Physical Location utility only displays notes for the past 24 hours. The Unit Log report enables you to view older notes or a complete list of notes. The date range of this report defaults to the past 24 hours, but a different date range can be specified. |
Workflow Log |
This report displays information about automated business rules that have been executed. The data provided by this report helps users to determine if workflows are running correctly and assists administrators in troubleshooting. Note: This report is filtered by the type of workflow and provides information based on the current type of the workflow, not on the type of the workflow when it was initially run. For example if the type of the workflow is changed and the report is run, all past runs of the workflow will be reported with the new type. |
ZIP Codes |
This report allows you to look up ZIP codes by State, City, or ZIP. You can type the first few numbers of a ZIP code to return all ZIP codes that include those numbers. The Default column specifies whether the ZIP code has been designated as the default code for the listed City. |
